Zaapi MCP connects compatible AI assistants, such as Claude Desktop, to your Zaapi inbox so you can work with customer conversations using everyday language. Find chats that need attention, summarize recurring complaints, draft follow-ups and save internal notes for your team. With the right permissions, you can also update customer information or send supported replies, helping your team turn insights from customer chats into practical next steps.

Zaapi MCP: Search Customer Chats and Take Action with AI

Zaapi MCP connects a compatible AI assistant, such as Claude Desktop, to your Zaapi inbox. You can ask questions in everyday language to find customer conversations, understand what customers are saying, and carry out supported tasks, such as updating customer fields or saving an internal note. Zaapi MCP is available to users on the Advanced plan.

For example, instead of opening conversations one by one, you could ask:

“Find customers who mentioned delivery delays in the last seven days. Summarize their concerns and show me the relevant conversations.”

This gives business owners and support teams another way to work with the customer information already in Zaapi.

What is Zaapi MCP?

MCP stands for Model Context Protocol, a standard that connects AI assistants with external tools and information.

Think of Zaapi MCP as a connection between your AI assistant and your customer inbox. You describe what you need, and the assistant uses the available Zaapi tools to look up information or perform an action.

The assistant’s access depends on the permissions you give the connection. For example, permission to read conversations lets it retrieve information, while changing customer data requires the appropriate editing permission.

Zaapi’s MCP documentation covers finding tickets, reading conversations, looking up contacts, updating custom fields, adding internal notes and replying to customers.

What can you do with Zaapi MCP?

The most useful starting points fall into three groups: find information, understand it and take action.

1. Find the customer conversations that matter

A busy inbox contains more than support requests. Customers also ask about products, restocks, delivery options and wholesale prices.

Zaapi MCP lets you ask your AI assistant to find relevant conversations without manually opening each chat.

For example:

“Find customers who asked about wholesale pricing on WhatsApp in the last seven days. Show their names and the relevant conversations.”

Or:

“Find open support tickets where the customer has been waiting more than four hours.”

These requests can help a sales team identify conversations to follow up on or help a support lead decide which cases need attention.

The results depend on the information available in Zaapi and the data your assistant can access.

2. Understand recurring questions and complaints

Finding conversations is only the first step. You can also ask the assistant to summarize them and explain common themes.

For example:

“Review delivery complaints from the last seven days. Group them by issue and include an example conversation for each group.”

This could help you distinguish questions about tracking updates from complaints about missed delivery dates.

You can also prepare for an individual customer conversation:

“Summarize this customer’s recent conversation. What did they ask for, and what did our team promise?”

That context helps the next agent continue the discussion without making the customer repeat everything.

When asking for counts or trends, ask the assistant to state the date range, how many conversations it reviewed and whether any results are incomplete.

3. Prepare follow-ups and update customer information

Zaapi MCP can also help with supported actions when the connection has the necessary permissions.

For example:

“Draft a follow-up for this customer about their delivery concern. Save it as an internal note for our team to review.”

Or:

“Update the Customer Tier field to Gold for these selected contacts.”

An internal note is useful when you want to prepare a reply before sending anything to the customer. For customer-facing messages, review the recipient, wording and any promises before asking the assistant to send.

Available actions depend on the Zaapi tools, the permissions granted and the rules of the connected messaging channel.

Example: Find a delivery problem and prepare the next step

Imagine you run an online store and want to understand recent delivery complaints.

You could work through the issue in one AI conversation:

  1. Find the relevant chats: Ask for conversations mentioning late deliveries during the last seven days.
  2. Understand the issue: Ask for a summary of the main concerns and what the support team has already told customers.
  3. Prepare a response: Ask for a follow-up draft for a selected conversation, saved as an internal note for review.

The value is in connecting the information with the next task. You can move from “What are customers saying?” to “What should our team follow up on?” using the conversations already in Zaapi.

How do you get started with Zaapi MCP?

You need a Zaapi API key, a compatible AI application and the software required to run the connection.

An API key is a private credential that gives the assistant permission to access your Zaapi workspace. Treat it like a password.

Zaapi’s current setup guide requires Node.js 20 or later, which is software used to run the connection on your computer. A technical teammate can help with the initial installation.

For Claude Desktop, the main steps are:

  1. Create a Zaapi API key.
Go to Settings → Developers → API Keys in Zaapi and select Add API key.
  2. Choose the permissions you need.
Start with read access if your first goal is searching and summarizing.
  3. Add Zaapi connection.
Follow the configuration instructions in Claude Desktop under Settings → Developer → Edit Config.
  4. Save and restart Claude Desktop.
  5. ‍Check the connection.
Ask the assistant to list the channel accounts connected to your Zaapi store.

Enter the API key in the configuration yourself rather than pasting it into an AI conversation. Zaapi keys expire after six months, so assign someone to keep the connection updated.

Use the Zaapi MCP setup guide for the installation steps and the authentication guide for API key management.

How do you ask questions that produce useful answers?

Give the assistant a clear scope: a topic, a date range and the result you want.

Instead of:

“Analyze all my customer chats.”

Try:

“Review WhatsApp conversations from the last seven days about delivery delays. Summarize the three most common concerns and include a conversation reference for each.”

Start with a short period, such as today or the last seven days. Requests covering many months of conversations can take considerably longer and may not complete.

For summaries, ask for supporting conversation references. For changes, identify the exact contacts or conversations involved. This makes the result easier to check.

Zaapi MCP vs. Zaapi Open API: What’s the difference?

Zaapi Open API connects Zaapi with other systems, such as your CRM, to read or update data. Zaapi MCP lets you ask questions and perform supported actions in Zaapi through an AI assistant, such as Claude Desktop, using everyday language.

Imagine an online store that also handles wholesale orders. When a customer returns to ask about pricing or place another order, your support team needs to know which sales representative previously helped them. If that information is stored in your CRM, you can bring it into the customer’s Zaapi profile so your team knows who to contact.

  • With Open API: Set up Make or n8n to copy the sales representative’s name from your CRM into a custom “Sales Rep” field in Zaapi.
  • With MCP: Ask AI: “Update this customer’s Sales Rep field to May.”

This example updates information in the customer’s profile. Zaapi MCP uses the Open API behind the scenes to carry out the action.

Sales team tasks in Zaapi compared: using the Zaapi Open API with Make, n8n or Zapier versus using Zaapi MCP through an AI assistant to show a sales rep, find customers waiting for a reply, summarize customer needs and prepare follow-up notes
What you want to do Using Open API with other apps Using MCP through an AI assistant
Show the customer’s sales representative Set up Make or n8n to copy the sales representative’s name from your CRM into the “Sales Rep” field in Zaapi. “Update this customer’s Sales Rep field to May.”
Find customers waiting for a reply Set up Zapier or n8n to check Zaapi tickets on a schedule, such as every hour. “Which open tickets have customers waiting more than four hours for a reply?”
Understand a customer’s needs before replying Use Make to retrieve messages from Zaapi and send them to an AI service or another system for summarization. “Summarize this chat. Which products does the customer want, how many units do they need, and what prices has our team quoted?”
Prepare follow-up notes for your team Set up n8n to add an internal note in Zaapi when a CRM task changes to “Quote sent.” “Draft a follow-up about the quote and save it as an internal note for our team to review. Don’t send it to the customer yet.”

Should you use Zaapi Open API or Zaapi MCP?

Use Zaapi Open API for recurring workflows that follow rules you define. For example, when the assigned sales representative changes in your CRM, a workflow built with Make, n8n, or Zapier can update the corresponding field in Zaapi.

Use Zaapi MCP to ask questions or request specific actions through AI. For example, ask for a conversation summary before taking over a customer enquiry, or prepare a follow-up message after sending a quote.

Both require connection setup and appropriate permissions. For CRM integrations, your CRM must allow access to the relevant data. You’ll also need to match each CRM field to the correct field in Zaapi and make sure updates reach the right customer profile. The app examples above are workflows you configure through the API.

Frequently asked questions

Do I need coding skills to use Zaapi MCP?

You don’t need coding skills for everyday use once Zaapi MCP is connected. You can ask your AI assistant to find customer conversations, summarize chats, or prepare follow-up messages using everyday language. The initial setup requires configuration, so you may need help from a technical teammate.

Which AI assistants work with Zaapi MCP?

Zaapi’s guide provides setup instructions for Claude Desktop, Claude Code, Cursor, and VS Code with GitHub Copilot. Other AI applications must support the local MCP connection described in the Zaapi MCP setup guide.

Can Zaapi MCP send messages to customers?

Yes. Zaapi MCP supports replying to customers when the connection has the required permissions. The rules of the messaging channel still apply. Review the recipient and message before sending, or ask AI to save a draft as an internal note for your team to review first.

Can Zaapi MCP analyze several months of customer conversations at once?

Requests covering large volumes of conversations may take a long time or fail to complete. Start with a shorter period, such as the past seven days, or focus on a specific topic, such as delivery complaints. Ask the AI assistant to state which conversations and dates it reviewed, and check for missing data before drawing conclusions.

Which Zaapi plan includes MCP?

Zaapi MCP is available on the Advanced plan. You’ll also need to connect a compatible AI assistant and configure its permissions before using it with your Zaapi inbox.

Start with one question your team asks every week

Choose a recurring question, such as “What delivery problems did customers mention this week?” or “Which customers are still waiting for a reply?”

Connect your assistant, use a short date range and check the conversations behind the answer. Once that is useful, expand to preparing follow-ups or updating selected customer information.

Read the Zaapi MCP setup guide to connect your assistant and start working with your inbox in plain language.
